Terms of service
The terms on which schools and organisations use moblit. Last updated 28 October 2026.
1. About these terms
These terms are an agreement between moblit ("we", "us") and the school, consortium or other organisation that signs up for it ("you"). They apply together with your order (the plan, project year and price we agree with you in writing) and the data processing agreement. If they conflict, the data processing agreement wins on personal data, then your order, then these terms.
moblit is for organisations, not consumers. Whoever accepts these terms for you confirms they're authorised to bind your organisation.
2. The service
moblit is software for running Erasmus+ mobilities: participants, placements, travel, stays, documents and grants, with portals for partner schools and host organisations. Each customer gets its own moblit, with its own database and address. We provide it as a hosted service; you don't install anything.
moblit is an independent product and isn't affiliated with or endorsed by the European Commission or any National Agency. It helps you run your projects, but you remain responsible for your Erasmus+ grant agreement, its rules and what you report under it. Check anything moblit calculates for you, such as grant amounts or unit costs, against the current Programme Guide and your agreement.
3. Your moblit and your users
- You decide who gets an account in your moblit, and what each person can do. Accounts are personal: no sharing.
- You're responsible for what your users do in it, and for keeping sign-in details safe. Tell us straight away at [email protected] if you think an account has been misused.
- People you invite from outside, such as partner schools, host organisations and participants, use only the parts you open to them, and you're responsible for inviting them.
4. Plans, project years and limits
Each plan is sold per project year, starting on the date in your order. Plans differ in how many participants they include each project year and in whether they include the consortium tools. When you reach your plan's participant limit, moblit won't add more until you move to a larger plan or we agree an exception in writing; everything you already have keeps working. The current plans and prices are on our website.
5. Fees and payment
- Prices are per project year and exclude VAT, which we add where it applies.
- We invoice at the start of each project year. Invoices are due within 30 days.
- If an invoice is more than 30 days overdue, we'll remind you by email; if it's still unpaid 14 days after that, we may make your moblit read-only until it's paid. You keep signing in, reading and exporting throughout.
- We may change list prices for later project years. Any change applies from your next project year, and we'll tell you at least 60 days before it starts. Prices we've promised you in writing for a period, such as founding-school pricing, hold for that period.
- Fees aren't refundable, except under the guarantee in section 6, or where these terms or the law say otherwise.
6. Trials and the 60-day guarantee
A trial, where we offer one, runs for the period we agree. It includes its plan's limits. When it ends without an order, your moblit becomes read-only and the rules in section 13 apply.
If moblit isn't working for you within 60 days of the start of your first paid project year, tell us by email within those 60 days and we'll refund that year's fees in full and give you a complete export of your data. No forms; a reply to any of our emails is enough. The guarantee applies once per customer.
7. Your data
Everything you and your users put into moblit ("your data") stays yours. You give us the right to host, copy, process and display it only as needed to provide, secure and support the service for you. We don't use it for anything else: not to train AI models, not for advertising, and never to sell.
For personal data in your moblit, you're the controller and we're your processor. Our data processing agreement (GDPR Article 28) is part of this agreement and is signed before any participant is added; it covers our instructions, security, sub-processors, breaches, audits and deletion. Our privacy policy describes what we process as a controller.
You're responsible for having a lawful basis for the personal data you put in, including data about participants under 18, and for telling the people concerned. You can export your data at any time, in standard formats.
8. Acceptable use
You and your users won't:
- use moblit for anything unlawful, or to store content you have no right to store;
- try to get into another customer's moblit, our systems, or parts of yours you weren't given;
- probe, scan or test moblit's security without our written permission (we welcome reports of weaknesses at [email protected]);
- overload it, interfere with it, or copy, resell or rebuild it, or reverse-engineer it beyond what the law allows;
- upload malware, or use moblit to send unsolicited messages.
9. Availability, support and changes
We work to keep moblit available around the clock and back up your data continuously, with 30 days of point-in-time recovery. Updates are installed without you having to do anything; while one is installed, moblit may be briefly unavailable, and we schedule longer maintenance outside European working hours where we can. Unless your order sets a service level, we don't promise a specific uptime.
Support is by email at [email protected], from a person, on Portuguese working days. moblit keeps improving: we may add, change or remove features, but we won't remove something your plan includes in a way that materially reduces it during a project year you've paid for.
10. Suspension
We may suspend access to all or part of your moblit, or a user's account, if it's necessary to stop a serious security risk, a breach of section 8, or harm to the service or other customers, or if the law requires it. We'll limit the suspension to what's needed, tell you why (in advance where we reasonably can), and restore access as soon as the reason is gone.
11. Confidentiality
Each of us keeps the other's non-public information confidential, uses it only for this agreement, and shares it only with people who need it and are bound to keep it confidential. This doesn't cover information that's public through no fault of the receiver, that the receiver already had or got lawfully from someone else, or that the law requires to be disclosed (with notice to the other where allowed).
12. Our intellectual property
moblit, its software, design and documentation belong to us and our licensors. This agreement gives you the right to use moblit for your own organisation's work while it lasts, not ownership of anything in it. If you send us suggestions, we may use them freely, without any obligation to you.
13. Term, ending and what happens to your data
The agreement starts when you accept these terms or sign an order, and runs for the project years in your orders. It continues into a new project year when we agree a new order with you; it doesn't renew automatically.
Either of us may end it by written notice if the other materially breaches it and doesn't put it right within 30 days of being told, or immediately if the other becomes insolvent. If we end the service for reasons that aren't your breach, we refund fees for the unused part of the project year.
When your contract or trial ends, your moblit becomes read-only: your staff can still sign in, see everything and export it, but nothing new is added, outside people (partner schools, hosts, participants' forms) no longer have access, and moblit stops sending automatic emails. 90 days after the end, we delete your moblit and its data, unless you've renewed or asked us to delete it sooner. Backups roll off within a further 30 days. Sections 5 (for amounts owed), 7, 11, 12, 15 and 17 survive the end.
14. What we promise, and what we don't
We'll provide moblit with reasonable skill and care, in line with these terms, and keep the security measures described in our data processing agreement. Apart from that, and as far as the law allows, moblit is provided as it is: we don't promise it will be uninterrupted or error-free, or that it will meet requirements we haven't agreed in writing.
15. Liability
- Each party's total liability under or in connection with this agreement, in any twelve months, is limited to the fees you paid us in the twelve months before the event that caused it.
- Neither party is liable for loss of profit, revenue, grant funding or goodwill, or for indirect or consequential loss, even if it was foreseeable.
- Nothing in these terms limits or excludes liability for fraud, wilful misconduct or gross negligence, for death or personal injury caused by negligence, for your obligation to pay fees, or for anything else the applicable law doesn't allow to be limited.
16. Things beyond our control
Neither of us is responsible for delays or failures caused by events outside our reasonable control, such as natural disasters, war, large-scale network or power outages, or a provider's failure we couldn't reasonably have avoided, provided we tell the other promptly and do what we reasonably can to limit the effects.
17. Law and disputes
These terms are governed by Portuguese law. We'll try to settle any disagreement by talking first; if we can't within 30 days, the courts of Lisbon, Portugal, have jurisdiction.
18. General
- Changes to these terms. We may update these terms. We'll email you at least 30 days before a change that matters takes effect; a change that reduces your rights applies only from your next project year, unless the law requires it sooner.
- Notices. We send notices to the contact email in your order; you send them to [email protected]. Email counts as written notice.
- Transfer. Neither of us may transfer this agreement without the other's consent, except that we may transfer it to a company that takes over moblit, on the same terms, with notice to you.
- Whole agreement. These terms, your orders and the data processing agreement are the whole agreement between us about moblit. Terms in your purchase orders don't apply.
- Severability and waiver. If part of these terms is found invalid, the rest still applies. Not enforcing a right now doesn't waive it.
- Language. These terms are written in English. If we provide a translation, the English version prevails.
